Terms and conditions

  1. This competition is open only to ACT school-aged children from 5-12 years who have been entered by a parent or legal guardian.
  2. The age of the entrants must be clearly stated on the entry form and must be five years or over, and not more than 12 years at the time the entry is submitted.
  3. All parents/guardians registering a child or children must submit their full name, email address, phone number, relationship to child, the child’s name and age and agree to the terms and conditions of the competition.
  4. Applications which are not accompanied by a complete application form, signed by a parent/guardian accepting the terms and conditions will be considered invalid.
  5. By submitting artworks and the application form to this competition, you (the parent/guardian) are agreeing to be contacted by TCCS for the purpose of this contest.
  6. All entries must be received by TCCS either via email to Treeweek@act.gov.au or arrive by post no later than 5pm on 21 March 2025.
  7. The copies of artwork submitted online must be submitted in a digital format via email in .jpeg, with a maximum file size of 6MB or the original artwork posted to TCCS.
  8. The file name of each artwork must include the creator’s name and age.
    1. File name must be in the format: Surname (of entrant)_First Name_ Age. Eg. Smith_John_7.
  9. Artwork, where possible, should be submitted as high-quality scanned copies or high-quality digital photos with a minimal size of A4 (3510 x 2490 pixels, 300 dpi).
  10. Artwork submitted in any other format online will not be considered to have been entered.
  11. Any original artworks posted to TCCS will be retained by TCCS and will not be returned.
  12. Only one entry per child may be submitted.
  13. Submitted artwork must be the child’s original creation.
  14. Children of the judges panel or immediate family members of the judges panel are not eligible to enter the competition.
  15. Entries will only be accepted using the competition template, a blank piece of paper or digital file (Jpeg) and must be in portrait, not landscape.
  16. Entries may include up to 10 words. Any additional wording will render the entry invalid.
  17. Entries can be colouring in pencil, crayon, paint, mixed media, or a digitally created artwork.
  18. TCCS assumes no responsibility for lost, stolen, delayed, damaged, illegible, incomplete, postage-delayed, or misdirected entries, or for any problems or technical malfunction of any telephone network or lines, computer on-line systems, servers, access providers, computer equipment software, failure of any entry to be received or traffic congestion on the internet or at any website, or any combination thereof including injury or damage to an entrant’s or other person’s computer related to or resulting from playing or downloading any material in the competition.
  19. TCCS reserves the right to change the terms and conditions of this competition at their discretion.
  20. TCCS will not be responsible for any incorrect or inaccurate information concerning the competition or for any technical errors that occur during the administration of the competition.
  21. By entering this competition, entrants agree that TCCS and its directors, and other groups supporting the competition, are not liable for any loss or damage of any kind to the entrant or other person in connection with this competition.

Judging of entries and award of prizes

  1. Twenty winners will be selected by the competition panel.
  2. All artwork will be judged by the panel, at the panels discretion against three criteria:
    1. Quality of the artwork in being displayed in an outdoor exhibition
    2. Creativity of the artwork and
    3. How well the artwork inspires the theme of ‘Branch out’.
  3. All Artwork will be judged within age categories of 5, 6, 7, 8, 9, 10, 11 and 12 year old age groups.
  4. Two winners will be selected from each age category, and four additional winners will be selected overall from any of the age categories
  5. Winners will be notified by 18 April 2025 via email and follow up phone call.
  6. The competition panel will be appointed by the Organiser and be made up of at least one Representative from TCCS and one representative from the Botanic Gardens.
  7. The panel may not select artworks if they suspect the entrant, or their parent/guardian has engaged in any unethical practices in connection with the Entry or activity inconsistent with the aims and objects of Tree Week and/or this competition.
  8. TCCS reserves the right to verify the authenticity of Entries and compliance with the competition rules. The parent/guardian must respond to any request for further information within one week. If the Entrant fails to provide evidence or TCCS determines, in its sole discretion, that there is insufficient evidence to confirm that the Entry complies with the Competition rules, then the Entry will be removed from the Competition and no further correspondence will be entered into.
  9. The panel’s decision is final and without appeal in all matters regarding this competition.
  10. The competition winners, (twenty winners to be announced by TCCS), will each receive a plant from the Yarralumla Nursery and their artwork displayed. The prize cannot be exchanged for cash.
  11. In the case of an ineligible entry being chosen as a winner, the next best chosen by the competition panel will be selected, and the contestant’s parent/guardian will be contacted via email or telephone.
  12. In the event the winner is unable to be contacted by 5:00pm on 18 April 2025 then the prize is considered unclaimed and the prize is considered forfeit and remains the property of TCCS and cannot be claimed by any means.
  13. TCCS will arrange with the contestant’s parent/guardian for the collection of the prize.
  14. TCCS are not responsible for arranging or paying for any additional or ancillary costs associated with the prize.
  15. In the event that the prize is unavailable or cancelled for any reason whatsoever, TCCS reserves the right to substitute an alternative prize.
  16. TCCS shall not be liable for any loss suffered or sustained in connection with the prize, except for liability, which cannot be excluded by law.

Copyright and rights of usage

By entering the competition, the entrant’s parent/guardian confirms that:

  1. The entered artwork is the entrant’s original work and has not been published for any commercial gain and that they are the sole owners of copyright, other than those possessed in the design by TCCS. TCCS are not responsible for any violation of third party rights in the work.
  2. They consent to having the child’s first name, age and their artwork appear online, printed or produced by TCCS without further notice or compensation.
  3. Unless otherwise stated, they grant TCCS a royalty-free, perpetual, worldwide, non-exclusive, irrevocable licence (including a right to sublicence) to reproduce, amend crop, edit, enlarge, publish or exhibit the artwork and/or caption text in exhibitions, in publications, on websites and social media for the purposes of the competition and in use in other areas of TCCS. When doing so, TCCS will credit the artist where possible. Failure to publish a credit due to error, oversight, or the submission containing incorrect or wrong details will not be deemed a breach.
  4. The ACT Government logo may be added to the final artwork and is not required to be added by the entrant.

Privacy

  1. The collection of this information is necessary to allow TCCS to contact you if the entry is a winning entry. Personal Information may be used or disclosed in accordance with the Information Privacy Act 2014. The personal information you provide may be disclosed to other ACT Government directorates, and third parties external to the ACT Government, as required by legislation. The Privacy Statement contains information about what information TCCS collects and to whom it is disclosed. The privacy statement also contains information about how you may access or seek to correct your personal information held by TCCS, and how you may complain about an alleged breach of the Territory Privacy Principles.
